Sales Secretary

Rubix are seeking a sales secretary for a role which will be based in South west London.

Our client, is an internationally recognised brand, operating a large network of offices in London, the UK and across the globe. The Sales Secretary’s main role will be to offer administrative support to the Head of Department and the team. Duties for this secretary role can be broken down into the following categories and will include:

PA Duties (client support):

  • Diary management – maintenance of diaries, making appointments and arrangements for all meetings with clients and colleagues
  • Organisation of meetings and document preparation
  • Dealing with clients visiting the office in a polite, helpful and confident manner
  • Minute taking at office meetings

Office Administration (client support):

  • Office branding and maintenance of the company’s image
  • Responsible for arranging and overseeing photography, floor plans, EPC, brochures and advertising of properties
  • Preparing presentations using PowerPoint
  • Pitching documents
  • Ensuring all electronic filing is carried out
  • Coordinating all incoming and outgoing mail

Financial (professional standards):

  • Administrating all expense claims
  • Monitor department travel expenditure

  General Team Responsibilities:

  • First point of contact for the department
  • Deal with telephone calls and emails regularly
  • Acting as an ambassador for the department head at all times and carrying out all personal assistant duties in a discreet, diplomatic and efficient manner
  • Ensure system website is updated and maintained
  • Maintain office internet presence and web page and update social media
  • Produce brochures, mailers and advertising for properties

Entertainment /Events:

  • Organise business generation events/functions

Systems & IT competence:

  • Word (Advanced)
  • Excel
  • PowerPoint
  • Outlook
  • Typing 60wpm+

 

The ideal candidate profile will be:

  • 2 years+ experience in a similar secretarial role
  • Mature candidate with an ability to maintain confidentiality
  • Ability to communicate with others in a professional and helpful manner both face to face and on the telephone
  • Flexibility, adaptability and a co-operative attitude
  • Calm under pressure and able to multi-task/prioritise workload
  • Good English grammar and spelling
  • Diligent and efficient
  • Punctual and well presented
  • Excellent telephone manner
  • Good sense of humour
  • Hardworking and resilient
  • Attention to detail
  • Able to take initiative and be pro-active
