Residential Property Coordinator

Rubix Recruitment have been instructed to find an Office Coordinator for a well established, international property company based in north-west London. Our client is one of London’s most respected property brands and has an extensive network within London, UK and internationally. Day to day, the Office Coordinator will be responsible for dealing with front of house enquiries, working with the lettings team and general property administration duties, whilst offering secretarial support to the office and carrying out viewings.

Key Duties:

  • Working closely with the team including dealing with enquiries
  • Booking appointments
  • Updating and maintaining websites and in house databases
  • Responsible for marketing/adverts
  • General office administration
  • Being aware and familiar with available stock in order to be able to discuss with applicants confidently
  • Developing relationships with LL’s and TT’s and ensuring information regarding requirements is communicated to the Negotiator and by attending check in for NM with inventory clerk should the Negotiator be unavailable
  • Being point of contact for LL’s and TT’s and Applicants in relation to all aspects of the LL/TT journey
  • To be able to deliver under pressure and be confident dealing with clients both in person and over the phone.
  • To generate own income via facilitating deals in order to achieve targets
  • Liaise with the deal progression team to ensure all file work ready before move in


  • Ideally ARLA qualified
  • Excellent IT skills, including Excel, Power Point, Word, etc
  • Ability to multi-task
  • Excellent written and communication skills
  • Ability to work effectively in a fast paced environment individually and as part of a team
  • Strong organisational skills
  • Confident in dealing with clients
  • Excellent telephone manner


  • Salary up to £30,000 basic salary +discretionary bonus
  • Excellent training and progression opportunities
  • 08:30-18:30 Mon-Fri, and 1 in every 2 or 3 Saturdays
